The Communication Process
1-How do you define communication?
For me communication
is a process that consists of the transmission and exchange of messages between
a sender and a receiver. And it is essential for life in society, because it
allows human beings to express ourselves and share information with each other,
establish relationships, reach agreements and be able to organize ourselves.
2- What is the role of communication in management of business?
I think the
role of communication in business management is fundamental, being one of the
essential factors for its proper functioning and development. Creating good
communication strategies and effective systems, makes the rest of the team and
business scheme improve in every way; This improves the competitiveness of the
organization, as well as the way in which it can adapt to the changes that
occur in its environment, in order to achieve the objectives that have been
initially proposed. At the same time, the existence of effective communication
in the management of the company encourages employee motivation, as well as
commitment and involvement in corporate tasks, creating an orderly and
homogeneous work environment in its communication channels.
3- What are the different purposes of communication? Briefly explain any
five of them.
-For
teaching: It is important because it helps to avoid for example accidents in
the workplace, we always have to concern about employee’s safety.
-For
instruction: It is the most common way we know that is used in business, it
basically means to give orders or instructions to complete a specific task.
-For
evaluation: It is essential to examinate the activities so we can let the
people know if they’re achieving the organization goals.
-For
integration: It is when we have to join different parts or teams of the
internal organization to make activities together so we have to make sure
everybody is on the same line.
-For image
building: The organization is not isolate from the society and in order to
build a strong business confidence we have to make sure to have a good image.
4- Discuss the different
situations when communication exists.
First,
there must be an issuing person who wants to transmit some information; And to
that desire there must be a receiver to whom the information will be
transmitted. Subsequently, the process continues when the receiver partially or
totally understands the information that is transmitted to him; And depending
on the level of understanding or interpretation of the information, the
receiver responds to the message or issues feedback.
Finally,
the cycle can continue as many times as necessary until the communication
channel feels satisfied or wants to end the cycle.
5- “Communication is an exchange of facts, ideas, opinions and emotions
by two or more
persons.” Explain the statement and discuss the role of feedback in
communication.
Communication
exists when you feel the need to be heard or understood by someone for a
specific purpose; And precisely the feedback is important in the communication
process because it is the part that manages to fulfill the initial need for
communication, reach an end, and know that the objective was correctly
fulfilled, so we can know if our idea or initial message has been successful.
been fully understood by the recipient. , otherwise we will never know if the
message has not been received or understood, and the initial objective will not
have been achieved.
6- “Communication is the two-way process.” Explain.
This
reminds me of the phrase that says "If a tree falls in a forest and no one
is around to hear it, does it make a sound?" Although it is posed with a
philosophical purpose, it is essential to know the perception of communication
and the reason why it exists, to be heard and understood, without there are no
two parts in the process, to be transmitted and received, really it wouldn't
make sense that it existed. Simply because it would not fulfill the essential
function of communicating something to someone.
7- Discuss the elements of the communication process.
It starts
with the sender who wants to share something that is called a message the he
has to encode the message after that he has to choose a correct channel that
could be for example an email then the message gets to the receiver who has to
decode the message and then give a feedback. It also exists the brain drain which
means a break on the cycle at any element or level.
8- Give three examples of brain drain in communication process.
1- If the decoding does not have a
correct or desired interpretation by the transmitter and the receiver
misinterprets the message.
2- If the communication channel is not
functional and the message never reaches the receiver.
3- When the transmitter does not formulate what
he is trying to say in a clear way.
